This Privacy Policy explains how Replikatie ("we," "us," or "our") collects, uses, and protects your personal information when you use our website at replikatie.com and the Replikatie application, browser extension, and related services (collectively, the "Service"). By using the Service, you agree to the terms outlined below.

1. Information We Collect

We collect data in the following ways:

a) Automatically Collected Data (analytics)

When you visit our site or app we use privacy-respecting analytics to collect anonymized information about your interaction with the Service. This may include:

Anonymized IP address
Browser type and version
Pages visited, time on page, and referral sources
Device type (mobile, desktop)
Cookies and usage data (see Section 5)

b) Account and Profile Data

When you create an account or accept a team invite, we collect: full name, work email, phone number, the Gmail address you connect for sending, your role (employer/employee), company name, and any profile fields you choose to provide.

c) Outreach Content

To deliver the Service, we process the email templates, sales archetypes, prospect lists, draft messages, and send/reply metadata you create or upload. We do not sell this content and we do not use your private content to train third-party general-purpose models.

d) Billing Data

Subscription and payment processing is handled by Stripe. We store the Stripe customer ID, plan, subscription status, and billing period. We do not store full card numbers on our servers.

e) Security-Related Data

We use security tooling (including a web application firewall) to protect the Service. This automatically collects technical data such as IP addresses, user-agent details, request timestamps, URLs accessed, and patterns indicative of bots or malicious activity. This data is used solely for security purposes.

2. How We Use Your Information

Operate, maintain, and improve the Service.
Authenticate users and provision team accounts.
Generate, queue, and send outreach you have configured.
Provide reporting, analytics, and AI-assisted suggestions to you.
Process subscriptions and prevent fraud.
Communicate with you about your account, security, and product updates.
Detect, investigate, and block malicious activity.

We do not sell, rent, or trade your personal data to third parties for marketing purposes.

3. Sharing Your Information

Service providers (hosting, database, email delivery, analytics, AI inference, payments) who are contractually obligated to protect your data.
Your team / company workspace. Employees and employers in the same workspace can see shared templates, reports, and team-level activity.
Legal compliance: when required by law, court order, or government request.
Cybersecurity providers: blocked IP addresses and threat indicators may be shared with WAF and threat-intelligence services.

4. Data Retention

Analytics data: up to 26 months.
Account, template, and outreach data: kept while your account is active, then deleted within 90 days of account closure (unless retention is required by law).
Billing records: retained as required by tax and accounting law (typically 7 years).
Security logs: retained as needed to investigate threats and maintain blocklists (typically up to 10 years).

5. Cookies and Tracking Technologies

We use cookies and similar technologies to keep you signed in, remember preferences, and measure Service usage. You can manage cookies through your browser settings. Disabling cookies may prevent parts of the Service from functioning.

6. Your Rights

7. Security

We use industry-standard measures (encryption in transit, row-level security in our database, scoped API keys, a web application firewall) to protect your data. No online service is 100% secure, but we continuously monitor and improve our defenses, including automatically blocking IPs associated with bots, scraping, or abusive behavior. If you believe your IP was blocked in error, contact us.

8. International Transfers

Replikatie is operated from the United States and uses globally distributed infrastructure. By using the Service you consent to transfer and processing of your data in jurisdictions that may have different data-protection laws than your own.

9. Children

Replikatie is not intended for use by anyone under the age of 18. We do not knowingly collect personal data from children.

10. Policy Updates

We may update this policy periodically. Material changes will be posted here with a revised "Last Updated" date and, where required, communicated to you directly.
